  1. In your Google document, click on Share in the upper right corner of the screen.

  2. Set your desired access options, then click on Copy.


Embedding Google documents with restricted access

Viewing Google documents with organization or restricted access requires an authorized Google account and consequently, the ability to log into such account.

However, Google’s support to external authentication is currently limited.

If a user tries to view a restricted document through an embedder app and they’re NOT logged into any Google account, Google’s login screen won’t show up and instead a generic error will be displayed.

To fix this:

  • open a separate tab and access any Google product

  • log into your Google account

  • go back to Jira/Confluence or monday.com and refresh the page

Once you are logged in, it will also apply to other Google Workspace embedders you use.

Aggressive cookie-blocking systems (like the default options in Brave browser) will prevent the embedder app to keep your authentication. Disable them in order to correctly log into your Google account. Deleting cookies will cancel your authentication.

 Embed the document without the editor’s interface (Google Sheets and Google Docs only)
  1. In Google Sheets and Google Docs, click on File > Share > Publish to web.

  2. If not published, set your desired publishing settings and click on Publish.

  3. Copy the displayed URL in the Link tab.

Are you embedding a restricted Google document in monday.com desktop app and Google doesn’t let you login (cookie error)?

  • Temporarily disable the restriction OR copy the link of any unrestricted Google file.
    It has to be compatible with the embedder you’re using.
    Example: Google Sheets Embedder 👉 use a Google Sheets unrestricted link

  • Embed the link or refresh the page if you’re not changing link

  • Click on Access and log into your Google account

  • Go back to the page where you embedded the document

  • You can now enable the restriction again or swap back to the file you originally intended to embed. You don’t need to repeat these steps for other files or Google embedders!

 Google Forms

Google does not support uploading files in external applications.

Trying to embed a Google Form that contains a “File upload” question will result in a “docs.google.com refused to connect” error.

  1. In Google Forms, click on Send in the upper right corner of the screen.

  2. Click the link button, then Copy.

 Microsoft Power BI

Private sharing

If you want your users to log into a licensed Power BI account to see the report:

  1. Access the Microsoft Power BI webapp

  2. Open your report

  3. Copy the link from your browser’s address bar

Please note that the relevant part of the link is the one preceding "/ReportSection", as the default section to be opened at startup is determined by the report settings. If you want to change the default section, open the desired page in the webapp and save a new report. The new report will have the active page as its default section.

Public sharing

If you want your report to be publicly available without login:

  • Access the Microsoft Power BI webapp

  • Open your report

  • Click File -> Embed report -> Publish to web (public)
    The URL link will look like this: https://app.powerbi.com/view...

Please note that some Power BI features may not be supported in the public version of embedded reports.

How to retrieve a scorecard’s URL

The URL of the scorecards is the web address you find in the address bar of your browser when navigating the scorecard itself. Just copy it!

 Microsoft Stream

The URL of the video is the web address of the Microsoft Stream video you find in the address bar of your browser.

 Microsoft Forms

Due to Microsoft’s security policies, privacy settings must be set to “Anyone can respond” to be embedded correctly. 

You can get the URL of your Microsoft Form by clicking on “Collect responses” and “Copy link”.

If you want to embed the response summary in your Confluence page you’ll need the summary link.

Go to Responses tab, click on the option button and then on Get a summary link.

Copy it in your clipboard and paste it in your Confluence page.

 

 Microsoft Visio

You can get the URL of your Microsoft Visio graph by clicking on the Option button and then “Embed”.

A popup window will show up. You need to copy the “Embed URL”.

The graph must be publicly accessible to be embedded correctly.

 Microsoft Power Apps

Play your Power App and copy the URL from your browser’s address bar.

Make sure that the URL looks like the one in the example.

Make sure that the app you’re embedding is accessible to your audience.

 Trello
  1. Access the Trello board

  2. Change the visibility to Public

  3. Copy the board URL from your browser
